A practical guide for field sales and service managers

How to track field employees fairly and accurately

How to track field employees well means knowing where your mobile staff worked, which customers they saw and how far they travelled, using records they agreed to and that cover work time only.

AutoDial CRM builds that record on each rep's phone from on-duty live location, stops and the notes they save at each visit.

  • Five tracking methods with what each one misses
  • The four facts worth knowing about a field day
  • A fair rollout your team will accept

How to track field employees: the short answer

To track field employees, record each working day’s start, stops, visits and distance on their phone, with their agreement and only during work hours. AutoDial CRM does this through its employee location tracking app.

Field staff are the hardest people in a business to manage well. The manager cannot see them, the customer sees them for twenty minutes, and the only account of the day is usually the employee’s own. Most firms start with phone calls (“where are you now?”) and end up with a stream of WhatsApp pins and a vague sense of distrust on both sides. Tracking works when it replaces that guessing with a plain record the employee also sees: when the day started, which places were visited and for how long, how many kilometres were driven, and what came of each visit. It fails when it turns into watching a dot all afternoon. The method you pick matters less than three choices made before you start: what you need to know, how openly you introduce it, and how you will use the data. This guide covers all three and compares five common methods.

How to track field employees: what you actually need to know

Before choosing a tool, decide which questions you want answered. For most field teams they are four:

  • Did the day start and end on time? Punch times, wherever the day began.
  • Which customers were visited? Stops with arrival time, departure time and place.
  • How far did they travel? Kilometres per day, for fuel and planning.
  • What came of each visit? Notes, orders and the next step agreed.

The first three are about presence; the fourth is about results. A system that answers only the first three tells you someone was busy, not whether they were effective.

Tracking that staff accept is tracking that works. A short, honest rollout does most of the job:

  1. Explain the reason. Proving visits, planning routes and settling fuel claims are reasons people understand.
  2. Limit it to work. Make clear that evenings, weekends and breaks are not recorded, and choose a tool that enforces it.
  3. Put it in writing. One page naming the data collected, the people allowed to view it and the date it gets deleted.
  4. Let them switch it on. Staff who enable tracking themselves, after reading what it does, are far less likely to feel spied on.
  5. Share the numbers. Let each person see their own kilometres and day, so a review is a conversation, not an accusation.

Rules differ between Nigeria, the UK, the EU, India and other countries (general information, not legal advice), and the guide is it legal to track employee location walks through them region by region.

How AutoDial CRM helps track field employees

Each rep allows live location once, from a consent screen, and it then runs only from punch in to punch out, pausing on Break. The phone shows the rep today’s kilometres. On the web, the manager opens any rep and day to see the route, every halt longer than five minutes as a numbered, area-named stop with its times, plus distance, idle time, breaks and battery, and can drill into the raw points behind it. Spoofed positions are flagged and left out of the distance. Any note a rep types at a customer’s premises carries that place’s area and coordinates, so the customer record shows where the meeting happened. Because the same account holds every rep’s calls, the visit, the call before it and the follow-up after it sit together; see the lead management app and, for calling lists, the auto dialer app.

Tracking field employees: limits

A phone app follows people, not vehicles, and only while they are on duty; a delivery truck parked overnight needs a fitted tracker instead. Readings depend on phone GPS and signal, so dense city centres and basements can blur a stop. AutoDial CRM does not plan routes, assign tasks, send geofence alerts or take orders in the field, so teams that need those should look at a field service tool. And no tool fixes a poor process: if targets are unclear, a perfect route map will not tell you who is performing.

How to track field employees: an example

An illustration, not a named customer. A pharmaceutical distributor in Ibadan, Nigeria, has 9 medical reps who visit pharmacies and clinics across the city. The sales manager used to ring each rep twice a day and still could not say which pharmacies had been seen. He writes a short policy, discusses it at a Monday meeting, and each rep allows live location in AutoDial CRM. After a month, the route views show an average of 6 stops and about 45 km a day per rep, and visit remarks carry the area of each pharmacy. Two reps are found to be crossing the city twice a day, so their territories are redrawn. The twice-daily phone calls stop.

FAQ

How to track field employees FAQ

  1. How do you track employees in the field?

Give each field employee a phone app that records their working day: when they start, where they stop, how long each visit lasts and how far they travel. Agree the rules with staff first, and review the record weekly rather than watching it live.

  2. How do I track my employees' work, not just their location?

Pair location with outcomes. A route shows where someone went, while visit notes, orders and follow-ups show what they achieved there. In AutoDial CRM a remark saved during a visit picks up the area and coordinates automatically.

  3. What is the best way to track employee performance in the field?

Measure results first, such as visits completed, orders and follow-ups closed, and use location to explain them rather than replace them. A rep with fewer kilometres and more orders is usually the better planner.

  4. How do I track field employees online?

Use an app that uploads each employee's on-duty positions to a web account, then open the day's route in a browser. AutoDial CRM sends readings in batches through the day, so the web view stays close to live.

  5. Can I track field employees by GPS without buying devices?

Yes. The phones your staff already carry have GPS, so an app is enough for people. A separate vehicle tracker is only needed if you must follow the vehicle itself, including outside work.

  6. Is WhatsApp live location good enough to track field staff?

For an occasional check, it can help. For a team it falls short: it depends on each person remembering to share, it gives no stops, distance or history in one place, and it mixes work with a personal chat app.

  7. How do I prove a field employee visited a customer?

Look for a stop at the customer's area with arrival and departure times, ideally matched by a note saved during the visit. AutoDial CRM shows both: stops of 5 minutes or more on the route, and remarks stamped with the visit location.

  8. How do I stop field staff faking their location?

Use an app that looks for fake readings rather than trusting every point. AutoDial CRM flags spoofed positions for the office and removes them, along with impossible jumps, from the distance.

  9. What is the best app to track field employees who also call customers?

The best app to track field employees who phone customers too keeps routes, calls and lead notes in one account. AutoDial CRM does that, so a manager can see the visit, the call before it and the follow-up after it.

  10. Can AutoDial CRM track field employees?

Yes. AutoDial CRM tracks field employees with live location that the employee switches on after a consent screen, recorded only on duty, with stops, kilometres and a daily route view on the web.

  11. How often should I review field employee routes?

Weekly is enough for most teams, plus a look at any day that someone queries. Watching live dots all day costs management time and tends to damage trust without improving results.

  12. How much does it cost to track field employees with AutoDial CRM?

AutoDial CRM costs ₹299 per user a month billed every 3 months (₹897), or ₹199 per user a month billed yearly (₹2,388). In US dollars that is $3.79 or $2.79 per user a month.

Your next call is ringing.

Install AutoDial CRM, import your leads and let the dialer, the WhatsApp and the follow-up alarm do the remembering.
