Field staff tracking for Android and iPhone

Employee location tracking app that records only working hours

An employee location tracking app records the route field staff travel during the working day and turns raw GPS points into stops and kilometres a manager can check.

AutoDial CRM records live location only between punch in and punch out, after each employee switches it on once from a consent screen.

  • A location every 15 seconds on duty, sent every 5 minutes
  • Stops of 5 minutes or more, named by area

What is an employee location tracking app?

An employee location tracking app records where field staff go during working hours and turns the GPS points into a route, stops and distance. AutoDial CRM is an employee location tracking app for Android and iPhone that records only between punch in and punch out, once each employee has switched it on.

Live location in AutoDial CRM starts with the employee, not the manager. A consent screen explains what will be recorded, and the employee turns location on a single time. From then on, the phone takes a point every 15 seconds while that person is on duty and sends the batch to the account every 5 minutes. Recording ends at punch out, or at the branch closing time if nobody punches out, and it pauses whenever the employee taps Break. The employee can see today’s kilometres on the phone. On the web, the manager opens any employee and day to find the route, numbered stops with area names and minutes, worked time, idle time, breaks, time in office and battery. Fake GPS points and jumps no vehicle could make are dropped from the distance. These facts were checked against the feature list on 14 October 2026. The same app runs calls and leads too, described on the auto dialer app page.

Field staff tracking app: route, stops and kilometres

A pin on a map tells a manager little. What helps is the shape of the day: where the person started, where they stopped, how long each visit took and how far they travelled. AutoDial CRM builds that from the 15-second points:

  • Route: the day’s path on a map, with the start and end marked
  • Stops: any halt of 5 minutes or more becomes a numbered stop with the area name, arrival time, departure time and minutes spent
  • Kilometres: shown on the employee’s phone for today, and on the web per working day and per month
  • Day totals: worked time, distance, idle time, breaks and time in the office, plus the phone’s battery

When a salesperson saves a remark during a visit, the area name and coordinates of the visit are added to the remark automatically, so the customer’s record in the lead management app shows where the meeting took place.

Field sales staff tracking app: calls and visits in one account

A field sales staff tracking app answers half of a sales manager’s question: where the rep went. The other half is what the rep did there and who they phoned between visits. Because AutoDial CRM is also the rep’s calling app, both halves land in the same business account. The web route shows the day’s numbered stops with arrival, departure and minutes; the team call log lists every call that rep made or took; and each remark saved at a customer’s door carries the area name and coordinates by itself. A manager checking Tuesday can match a 25-minute stop to the lead whose remark was written there, then see whether the promised follow-up call happened.

Tracking people is only fair when it is limited and visible. The rules here are fixed in the app, not left to a manager’s goodwill:

  1. The employee turns it on. Live location is switched on once by the employee after a consent screen, so the person being tracked is the one who starts it.
  2. Only on duty. Points are recorded between punch in and punch out. If someone forgets to punch out, recording still stops at the branch closing time.
  3. Breaks pause it. Tapping Break stops live location until Resume work is tapped, and every break is saved.
  4. Nothing on days off. With no punch in, there is no recording.

The punch itself, with its live selfie and office check, is part of the staff attendance app; this page covers what happens between the two punches.

Employee GPS tracking app: web route view and raw GPS

Managers work from the web, not the employee’s phone. The route view opens for any employee and any day and lays out the map, the numbered stops and the day totals in one screen. When a line on the map looks wrong, such as a straight cut across a river, the raw GPS points view behind that day shows every reading the phone sent, so the question can be settled with data rather than an argument.

For a wider view, the web attendance and field tracking report covers any branch and date range and includes each day’s kilometres alongside punch times, hours and breaks. It exports to Excel for a month-end review or for whoever pays travel claims.

Employee location tracking app rules by country

General information, not legal advice. Rules on tracking staff location differ from country to country. In the European Union and the United Kingdom, data protection rules generally expect an employer to tell staff what is tracked, to have a clear reason, and to avoid tracking outside work. In India, Indonesia, the United States and elsewhere, the position depends on national law, local or state rules and the employment contract. Whatever your country, a written policy that staff have read, tracking limited to working hours, and a named person who can see the data are sensible starting points. Check the rules where your team works before you switch tracking on.

Employee location tracking app setup

  1. Set each branch’s working hours and days off, so the app knows when the working day ends.
  2. Have field staff install AutoDial CRM on their Android phone or iPhone and sign in to the business account.
  3. Share your tracking policy, then ask each employee to punch in and switch on live location from the consent screen.
  4. Remind staff to tap Break and Resume work for personal time.
  5. Check the web route view the next morning, and export the report to Excel at month end.

Employee location tracking app limits

AutoDial CRM tracks people while they work, not vehicles around the clock. If you need a van’s position at night or on Sundays, a vehicle GPS tracker is the right tool. Accuracy depends on the phone’s GPS and signal, so a reading inside a tall building or underground can be rough. The app reports kilometres but does not turn them into an allowance or a payslip; multiply by your own rate. It is not a hidden tracker: the employee sees it and switches it on, so it is the wrong choice for anyone who wants tracking staff do not know about. Office radius checks and selfie punches sit in the attendance feature, not here.

Employee location tracking app example

An illustration, not a named customer. A water filter distributor in Jakarta, Indonesia, has 12 sales reps who visit shops and homes by motorbike. The field sales manager used to accept kilometres written on paper and paid a fuel allowance of IDR 2,500 per km (about $0.15). He rolls out AutoDial CRM, explains the policy at a Monday meeting, and each rep turns on live location after the consent screen. By month end the report shows each rep’s daily kilometres, around 900 km a month on average. One day carries a 40 km jump across the city in two minutes; it is left out of the distance and the raw GPS points show why. Stops average about 6 per day, each named by area, and lunch breaks appear as breaks, not as idle time. He exports the month to Excel and pays the allowance from it.

FAQ

Employee location tracking app FAQ

  1. How can I track my employees' location?

Use an employee location tracking app that each employee switches on for working hours. With AutoDial CRM, staff punch in, the phone takes a location every 15 seconds and sends the points every 5 minutes, and the manager opens the day's route on the web.

  2. What is the best employee location tracking app for field staff?

The best employee location tracking app for field staff records only on duty, turns raw GPS into stops and kilometres, and filters out fake points. AutoDial CRM does all three, and it also keeps the same staff's sales calls and leads in one account.

  3. Is AutoDial CRM an employee location tracking app?

Yes. AutoDial CRM is an employee location tracking app as well as a calling CRM: it records live location between punch in and punch out and shows each day as a route with stops, distance, idle time and breaks.

  4. Do I need my employees' consent to track their location?

In most countries you should at least tell staff clearly and get their agreement, and AutoDial CRM is built around that: the employee turns live location on once after a consent screen. This is general information, not legal advice; rules differ between places such as the EU, the UK, India and Indonesia, so check your own.

  5. Does the app track employees after working hours?

No. Live location records only between punch in and punch out, or until the branch closing time if someone forgets to punch out, so evenings and days off are never tracked.

  6. Can an employee pause location tracking during a break?

Yes. Tapping Break pauses live location and Resume work starts it again, so lunch or a personal errand does not appear as part of the working route.

  7. How often does an employee GPS tracking app record location?

It varies by app, and AutoDial CRM takes a location every 15 seconds while the employee is on duty. The points reach the account every 5 minutes, which keeps the web route close to live.

  8. Is there a free employee location tracking app?

Yes, some apps offer a free tier, usually with limits on staff or history. AutoDial CRM is free to install, and its plan is priced per user rather than offered free.

  9. Do fake GPS apps change the kilometres?

No, not in AutoDial CRM. Points flagged as fake GPS are left out of the distance, along with jumps no vehicle could make, so a spoofed position does not add kilometres to the day.

  10. Can I see where an employee stopped during the day?

Yes. Any halt of 5 minutes or more becomes a numbered stop on the web route view, with the area name, arrival and departure times and the minutes spent there.

  11. How does the app work out kilometres travelled?

It adds up the distance between the GPS points recorded on duty, after dropping fake points and impossible jumps. The employee sees today's kilometres on the phone, and the web shows kilometres per working day and per month.

  12. Does the field staff tracking app work on iPhone?

Yes. Live location and the day's kilometres work on iPhone as well as Android, so a team with mixed phones uses one system, and managers read routes and reports on the web.

  13. Can I check the raw GPS points behind a route?

Yes. Every day's route has a raw GPS points view behind it, so an odd line on the map can be checked against the readings the phone actually sent.

  14. How much does an employee location tracking app cost with AutoDial CRM?

AutoDial CRM costs ₹299 per user a month billed every 3 months (₹897), or ₹199 per user a month billed yearly (₹2,388). In US dollars that is $3.79 or $2.79 per user a month.
