A practical guide for sales managers

How to track sales calls without chasing your team

How to track sales calls well comes down to one habit, recording every call's date, person, outcome and next step in one shared place, ideally captured by the phone rather than typed later.

AutoDial CRM captures each sales call on the salesperson's Android phone as it happens and asks only for the outcome.

How to track sales calls: the short answer

To track sales calls, log each call’s date, person, outcome and next step in one shared place, captured by the phone itself. AutoDial CRM handles that capture on Android through its call tracking app.

Most sales teams already track calls in some form: a notebook on the desk, a shared sheet, notes in a CRM that someone fills in on Friday. The trouble is rarely the tool; it is the gap between the call and the record. Every minute between hanging up and writing it down loses detail, and on a busy day the writing never happens. The methods that work close that gap. They create the call record at the moment the call ends, attach it to the customer it belongs to, and leave the salesperson only two things to add: what happened and what comes next. A manager then reads one source instead of chasing five people for updates. The rest of this guide covers what to record, how five common methods compare, and how to move a team to automatic tracking in a week.

How to track sales calls: what to record on every call

Whatever tool you use, each call record should hold the same small set of facts:

  • When: the date and time of the call
  • Who: the person, their number and the company if there is one
  • Result: connected, not answered or rejected
  • Outcome: a status such as Interested, Call back, Quote sent or Not interested
  • Note: one or two lines on what the customer said
  • Next step: the follow-up and its date
  • Source: where the lead came from, so you can tell which channels deserve calls

Leave out anything nobody will read. A short record filled in on every call beats a long form filled in on a few.

How to track sales calls automatically across a team

Moving a team from sheets to automatic tracking takes about a week:

  1. Pick the phones. Decide which work phones will carry the tracking app. Only Android lets an app log every call on its own, since iPhones close their call list to apps.
  2. Install and set the dialer. Put the app on each phone and let it act as the dialer, so calls and contacts work as before while each call is saved.
  3. Load the leads. Import your current spreadsheet so past customers are recognised when they ring.
  4. Agree the statuses. Five or six outcomes are enough. Write them down so everyone uses the same words.
  5. Keep private calls out. Exclude personal numbers and choose which SIMs back up before day one.
  6. Review together. When week one ends, go through the numbers as a team rather than about them.

Tracking sales calls: numbers to review each week

Six numbers tell a manager most of what matters: calls made, calls connected, numbers that never got through, follow-ups due and overdue, leads that reached an interested status, and leads that became paying customers. Read them per person and for the whole team, and compare with the week before. A drop in connected calls with steady dials points to a list or timing problem; a pile of overdue follow-ups points to a workload problem. Neither needs a long report to spot.

How AutoDial CRM helps track sales calls

AutoDial CRM replaces the phone’s dialer on Android, so each sales call is saved against its lead as it happens, including WhatsApp, Google Meet and Zoom calls. When the call ends, a two-tap sheet stores the result and the next date, and the reminder for that date sounds like an alarm. Overdue reminders carry into Today until someone marks them done. Analytics rings count outgoing, connected and lost-lead calls for any range, and each employee’s calls roll up to the owner. Lead source tags and a shared filter answer the question of which channel deserves the calls, and once someone buys, the lead converts into a paid client record. For a calling-first CRM around this, see the telecalling CRM; for the reminder side, the follow-up reminder app; and for dialing lists, the auto dialer app.

Tracking sales calls: limits

No method tracks calls it never sees. A phone-based app misses calls made on phones without it, and iPhones do not open their call list to any app, so automatic tracking there is not possible; the iPhone app has every feature except the phone’s call log. AutoDial CRM does not record calls itself, has no live listening and does not report total talk time per person. Teams dialing from desk sets on a hosted call centre should track calls in that system. Whatever you choose, tell the team what is tracked and why before the first day.

How to track sales calls: an example

An illustration, not a named customer. A cleaning supplies distributor in San Jose, Costa Rica, has 6 sales reps who call hotels, clinics and offices. The sales manager kept a shared spreadsheet, but on most days only half the reps updated it, and follow-ups slipped. She moves the team to AutoDial CRM on their Android phones, imports the sheet of 1,200 customers and agrees five statuses with the reps. In the first week the app logs about 420 calls without anyone typing a call into a sheet. Her Friday review shows 60 overdue follow-ups, almost all with two reps, so she rebalances their lists. A month later overdue follow-ups are under 10, and the spreadsheet is retired.

FAQ

How to track sales calls FAQ

  1. What is the best way to track sales calls?

The best way to track sales calls is to have them logged automatically on the phone that makes them, with the salesperson adding only the outcome and next step. Spreadsheets work for one person, but they fall behind as soon as a team is calling every day.

  2. What is the best software for tracking sales calls?

For teams that sell from mobile phones, the best software is a calling CRM that logs calls by itself and ties each one to a lead. AutoDial CRM does this on Android, with outcomes, follow-ups and a team view for the manager.

  3. Can AutoDial CRM track sales calls automatically?

Yes, on Android. AutoDial CRM runs as the phone's dialer, so every sales call is saved to the right lead without typing, and the outcome is added on a short sheet when the call ends.

  4. How do you track a sales team's calls?

Put one tracking tool on every salesperson's work phone and send all calls to a shared account. With AutoDial CRM, each employee's calls roll up to the owner, who can filter them by type, date and outcome.

  5. Can I track sales calls in Excel?

Yes, with columns for date, name, number, outcome and next step, and it costs nothing. The weak point is that each call must be typed in by hand, so busy days go missing and the sheet is always a little out of date.

  6. What should a sales call tracker include?

At minimum: the date, the person and number, whether the call connected, its result, a line of notes and what happens next, with a date. Adding the lead source shows which channels are worth the calling time.

  7. How do you track sales calls on a mobile phone?

Install a call tracking app that acts as the phone's dialer, so each call is saved as it ends and you only add the result. On an Android phone AutoDial CRM does this for SIM calls and for WhatsApp, Google Meet and Zoom calls.

  8. Is there a free sales call tracker?

Yes. A spreadsheet or a free sales tracker template costs nothing, and some apps have free versions with limits. AutoDial CRM can be installed free; a team subscription is charged per seat, starting at ₹199 or $2.79 monthly with a yearly bill.

  9. Which sales call numbers should a manager review?

Review calls made, calls connected, lost leads, follow-ups due and overdue, and how many leads moved to an interested or paid status. Those six numbers show effort, reach and results without a long report.

  10. Should salespeople log calls themselves or let an app do it?

Let an app log the call and have the salesperson add only the outcome. People forget to log on busy days, while a dialer app saves every call it places or receives, so the human part shrinks to a status and a note.

  11. Do I need to record sales calls to track them?

No. A call log with outcomes and notes is enough to track activity and results; recordings help with coaching. AutoDial CRM can import recordings that your phone's own recorder saves, but it does not record calls itself.

  12. How much does it cost to track sales calls with AutoDial CRM?

AutoDial CRM costs ₹299 per user a month billed every 3 months (₹897), or ₹199 per user a month billed yearly (₹2,388). In US dollars that is $3.79 or $2.79 per user a month.

Your next call is ringing.

Install AutoDial CRM, import your leads and let the dialer, the WhatsApp and the follow-up alarm do the remembering.
